WHAT INFORMATION WE COLLECT

When you contact us or complete our enquiry/referral form, we may collect:

- Your name and the name of the person needing support

- Contact details (email address, phone number, postal address)

- Information about the reason for your enquiry, including details about mobility, health, daily living and home circumstances

Some of this is health-related information, which is treated as "special category data" under UK GDPR and handled with extra care.

WHY WE COLLECT IT AND OUR LAWFUL BASIS

We use your information to:

- Respond to your enquiry and arrange an assessment

- Carry out and document occupational therapy assessments

- Provide written reports and recommendations

- Arrange payment and keep necessary business records

Our lawful basis for processing personal data is the performance of our agreement with you and our legitimate interest in responding to enquiries. For health-related information, we rely on the provision of health and social care (UK GDPR Article 9(2)(h)) and, where appropriate, your explicit consent.

HOW WE STORE AND PROTECT YOUR INFORMATION

Your information is stored securely and access is limited to Alana only. Records are held on a password-protected, encrypted device and a secure cloud service. We do not sell your data or share it for marketing.

WHO WE SHARE IT WITH

We do not share your information with third parties except where necessary to provide our service or where required by law. Where equipment is recommended, any details shared with a quality-assured provider will only be shared with your knowledge.

HOW LONG WE KEEP IT

We keep client records for 8 years after our last contact, in line with professional record-keeping guidance for adults, after which they are securely deleted. Enquiries that do not proceed to an assessment are kept only as long as needed and then deleted.
